1. Who you are contracting with
Proofavo is operated by:
AGVA-Plusz Bt. 1152 Budapest, Illyés Gyula utca 2-4. A. ép. fszt. 7., Hungary Company registration number: 01-06-795468 Tax number: 27322152-1-42 · EU VAT number: HU27322152 Contact: support@proofavo.com
"We" and "us" mean AGVA-Plusz Bt. "You" means the business that opens a workspace.
These terms are written for business use. Proofavo is sold to print shops and studios, not to consumers.
2. What the service does
Proofavo lets you send an artwork proof to your customer for review and approval. Your customer opens a link, comments on the artwork, and either requests changes or approves a specific version. We record what was approved, by whom, and when.
3. Your account
You are responsible for who you invite into your workspace and for what they do there. Tell us at support@proofavo.com if you believe an account has been compromised.
Anyone can open a workspace at proofavo.com/signup, with an email address they control or a Google account. A workspace can also be created by us, or you can be added to one by its owner.
4. Your customers are not our users
The person who opens a review link is your customer, not ours. They need no account and agree to nothing with us in order to view a proof.
This has consequences you should understand:
- You decide who receives a link. We send the email you ask us to send, to the address you give us.
- You are responsible for having the right to share the artwork you upload, and for the content of what you send.
- Data about your customers is handled as described in the Privacy Policy. In data-protection terms you are the controller of that data and we are your processor, and the contract the GDPR requires between us for that is the Data Processing Addendum, which forms part of these terms. You do not need to sign it; it takes effect when you open a workspace. Ask at support@proofavo.com if you need a countersigned copy.
5. Your content stays yours
You keep every right you have in the artwork, comments and other material you or your customers put into Proofavo. We claim no ownership and no licence beyond what is needed to run the service for you: storing the files, generating previews, and showing them to the people you send links to.
We do not use your artwork to train anything, and we do not show it to anyone you have not sent a link to.
6. What an approval is, and what it is not
When your customer approves a proof, we record the exact version they approved, that file's SHA-256 fingerprint, their name and email address, the time, and any message they wrote. The record cannot be edited or moved to a different version afterwards.
This is not an electronic signature and we do not describe it as one. It is a timestamped, attributed record that a specific person approved a specific file. Whether that satisfies any particular legal requirement between you and your customer is a question about your relationship with them, and one you should answer with your own adviser.
7. Acceptable use
Do not use Proofavo to store or send material that is unlawful, that infringes someone else's rights, or that you have no right to share. Do not attempt to reach another workspace's data, disrupt the service, or bypass its limits.
We may suspend a workspace that does these things. Where we can, we will tell you first.
8. Plans, payment and tax
Plans and their limits are described on the pricing page. A Free plan is available and does not expire.
Payments are handled by Dodo Payments as merchant of record. That means Dodo Payments — not us — is the seller for the transaction: they take the payment, calculate and collect any applicable tax, and issue the invoice. Your card statement and your invoice will name them. Your contract for the service itself is with us.
Prices are shown in US dollars. Any tax due is calculated at checkout based on where you are.
Refunds and payment disputes go through Dodo Payments' process. If something has gone wrong, write to support@proofavo.com anyway — we would rather know.
9. Cancelling
You can cancel at any time from the billing portal. Cancelling stops future charges. It does not delete anything:
- your existing proofs stay readable;
- review links your customers already hold keep working;
- approval records are kept indefinitely;
- uploaded files are kept for at least twelve months, and we will give you at least 30 days' notice before removing any of them.
The Data Retention Policy sets this out in full.
10. Availability
We work to keep Proofavo available and we monitor it continuously, but we do not offer a service level agreement, and during the beta period you should not rely on it as your only record of an approval. Keep your own copies of anything that matters commercially.
11. Our liability
Nothing here limits liability that cannot be limited by law — in particular for death or personal injury caused by negligence, or for fraud.
Subject to that: we are not liable for indirect or consequential loss, for lost profits, or for the cost of reprinting work. Our total liability in any twelve-month period is limited to what you paid us in that period.
This is a deliberate allocation of risk in a low-priced tool. If a wrong proof goes to press, the cost of the print run is not something a subscription of this size can carry, and pretending otherwise would be dishonest rather than generous.
12. Changes
We may change these terms. If a change materially affects you, we will tell the account owner before it takes effect. Continuing to use Proofavo after that means you accept the new terms.
13. Governing law
Hungarian law applies, and the Hungarian courts have jurisdiction.
